The right IVF EMR software for a fertility clinic in India does three things a general clinic system cannot: it records every stimulation cycle, retrieval, embryo and transfer in the form the Assisted Reproductive Technology (Regulation) Act, 2021 expects, it keeps those records for the ten years the Act demands, and it produces the data your clinic must send to the National ART and Surrogacy Registry. Everything else, from appointment booking to WhatsApp reminders, is a bonus. This guide covers what to look for, how IVF data management differs from ordinary patient records, why most fertility clinics now choose a web based IVF EMR, and what the pricing models look like in rupees. The Easy Clinic IVF EMR page shows one example of cycle tracking inside a clinic management system.

What to look for in IVF clinic software
Look for a system that records the whole cycle, not only the consultation. IVF clinic software must hold the stimulation protocol, each monitoring scan, the oocyte retrieval, what happened to every oocyte and embryo in the lab, the transfer and the outcome. If a product cannot show an embryo’s history from retrieval to transfer or storage, it is not IVF EMR software, whatever the brochure says.
Records the ART Act expects you to keep
Section 23%20Act,%202021.pdf) requires every clinic and bank to keep detailed records of all donor oocytes, sperm and embryos, used or unused, and the manner and technique of their use. Those records must be kept for at least ten years, then transferred to the Registry’s central database, or at once if the clinic closes. Section 21(j) adds a reporting duty: enrolment, procedure and outcome, including complications, must go to the National Registry periodically.
Section 22 says no procedure may start without written informed consent from all parties, plus twelve months of insurance cover for an oocyte donor. The ART Rules, 2022 prescribe the forms: Form 6 for the couple or woman, Forms 7 and 8 for IUI with husband’s or donor semen, Forms 9 and 10 for freezing embryos and gametes, Form 12 for oocyte retrieval and Form 13 for the oocyte donor. Your fertility clinic software should store a signed copy of each form against the cycle, so an inspector can see it in seconds.
The penalties are not small. Advertising sex selection carries five to ten years in prison or a fine of ₹10 lakh to ₹25 lakh under section 32. Selling or importing embryos or gametes carries ₹5 lakh to ₹10 lakh for a first offence and three to eight years plus ₹10 lakh to ₹20 lakh after that under section 33. Section 34 applies the same penalties to any other breach with no specific penalty, which includes record-keeping failures.
Feature checklist: must-have vs nice-to-have
| Area | Must-have | Nice-to-have |
| Cycle record | Stimulation protocol, drug and dose log, follicle monitoring, trigger, retrieval, transfer, outcome | Protocol templates by patient profile |
| Embryology | Per-oocyte and per-embryo record from retrieval to transfer, storage or disposal | Image upload from the lab microscope |
| Cryostorage | Inventory by tank, canister and straw, with ten-year storage dates and consent status | Alarm log and audit of every tank access |
| Consent | Stores signed Form 6 to Form 13 against each cycle, blocks the next step if a form is missing | Digital signature capture at the desk |
| Donor records | Donor source (registered bank), screening results, Form 14 and 15 records, one-donor-one-recipient check | Donor matching worksheet |
| Registry reporting | Exports enrolment, procedure and outcome data in the shape the Registry asks for | One-click monthly export |
| Ultrasound (PCPNDT) | Form F per scan on a pregnant woman, register, monthly report by the 5th | Scan image storage |
| Privacy (DPDP) | Role-based access, audit log, consent notices, breach log | Consent manager integration from 2027 |
| ABDM | ABHA number on the patient record, Health Facility Registry ID | Health record linking for incentives |
| Front office | Scheduling, package billing, part and advance payments, WhatsApp and SMS reminders | Online booking and payment |
IVF data management software for fertility clinics
IVF data management software is the part of the system that tracks biological material and the people linked to it. One visit creates one note. One IVF cycle can create a dozen oocytes, several embryos, several storage locations and a chain of consents, each with its own ten-year clock. The software must keep all of it linked for a decade.
Embryology lab, cryostorage and witnessing
Embryo identity is the biggest risk. In June 2026, ThePrint reported two Delhi-region cases where DNA tests showed IVF babies were not related to either parent, a magistrate’s order for an FIR against one clinic, and a Supreme Court advocate’s view that embryo swapping is the most common malpractice because embryo record-keeping is poor. IVF data management software cannot stop a lab error by itself, but it makes every handling step traceable: who moved which straw, from which tank, for which patient, at what time.
Section 28 of the Act says storage runs for at most ten years unless the National Board allows longer, and that the standards for recording and identifying stored gametes and embryos are set by the Rules. Ask vendors three questions. Can the system record a two-person witness check at retrieval, insemination, transfer and freezing? Does the cryostorage inventory show every tank and straw with its consent and expiry date? Does it flag embryos whose storage period or consent is about to lapse? If any answer is a spreadsheet workaround, keep looking.
Registry reporting and DPDP consent
Registry reporting is where most clinics feel the gap between a general EMR and IVF clinic software. The Act requires online submission of a couple’s progress and donor data to the Registry within one month of the clinic receiving it, and the registry portal is the channel for ART clinic registration and renewal. Your software should export cycle, outcome and donor data so staff do not re-type it. Confirm the format with your State Appropriate Authority, because the portal, not the vendor, decides it. [NOT CONFIRMED: the current data fields and frequency the National Registry requires from Level 2 clinics; check with the Department of Health Research or your State Appropriate Authority.]
Fertility data is also personal data under the DPDP Act, 2023. Section 6 requires consent that is free, specific, informed, unconditional and unambiguous. Section 8 requires reasonable security safeguards, breach notification to the Data Protection Board and affected patients, and erasure when the purpose ends unless a law requires retention, as the ART Act does for ten years. Penalties run up to ₹250 crore for failing to keep safeguards and ₹200 crore for failing to notify a breach. The DPDP Rules were notified on 13 November 2025. The Hogan Lovells summary notes that consent manager rules start on 13 November 2026 and the notice, consent, security and breach rules start on 13 May 2027, with a detailed breach report due to the Board within 72 hours. Our guide to patient data privacy laws in India covers what a clinic must change before then.
Where ultrasound is part of cycle monitoring, the PCPNDT Act applies too. The Tamil Nadu Clinical Establishments Authority summary lists the duties: Form F for every scan on a pregnant woman, a serial register, records kept two years under section 29, and a monthly report to the Appropriate Authority by the 5th. Rule 9(7) says electronic records need an authenticated printed copy, so your IVF EMR software should print Form F cleanly.
Web based IVF EMR for fertility clinics in India
A web based IVF EMR runs on the vendor’s servers and your staff use it through a browser, so the embryologist, the doctor and the owner all see the same cycle record. For most single-site and small-chain fertility clinics in India it is now the sensible default, because the ten-year record rule and the breach-notification duty both punish a server under a desk with no backup.
Web based vs on-premise comparison
| Factor | Web based IVF EMR | On-premise IVF EMR |
| Upfront cost | Low. Subscription per doctor or per clinic | High. Licence, server, networking, installation |
| Ten-year record retention | Vendor backs up and keeps versions. Check the contract | You buy, run and test the backups yourself |
| Access from multiple sites | Built in | Needs a VPN or a second server |
| Updates when the Rules change | Vendor pushes new forms to everyone | You pay for and schedule each update |
| Internet dependence | Needs a stable connection. Ask about offline mode | Works on the local network without internet |
| Data location | Ask where the servers are. Check DPDP cross-border rules | Inside your clinic |
| Security duty under DPDP | Shared with the vendor as your data processor | Entirely yours |
| Exit | Ask for a full data export in an open format before you sign | Data stays with you, but support may end |
Internet is the usual objection. Ask every vendor what happens during an outage: can staff keep working and sync later, or does the clinic stop? Ask where your data is hosted, and if it is outside India, confirm that is allowed once the DPDP cross-border provisions start in May 2027. Web based does not mean a mobile app. Many systems, including Easy Clinic, run in a phone browser rather than a native app.
ABDM is the other reason to choose a web based IVF EMR. The Press Information Bureau reported on 6 July 2026 that more than 93 crore ABHA accounts had been created and more than 104 crore health records linked, and that private facilities can join and earn digital health incentives. A clinic that stores an ABHA number on each record and registers on the Health Facility Registry is ready for that. Our ABDM compliance guide walks through the steps.
What IVF EMR software costs in India: pricing models
IVF EMR software in India is sold under four main models, and the five-year total matters more than the monthly figure. We do not quote vendor prices. Ask every shortlisted vendor for a written quote on the same five-year basis.
Pricing models compared
| Model | How you pay | Suits | What drives the cost |
| Per doctor per month | A fixed amount for each consulting doctor, often with reception included | Single-site clinics with one to four doctors | Number of doctors, annual versus quarterly billing, plan tier |
| Per clinic or per site per month | One fee per location regardless of user count | Clinics with many nurses, counsellors and embryologists who need logins | Number of locations, modules switched on |
| One-off licence plus AMC | A large upfront licence, then an annual maintenance contract, usually a percentage of the licence | Hospitals that prefer capital spending and own servers | Licence size, AMC percentage, hardware, upgrade fees |
| Enterprise or custom | Negotiated price for a chain | Multi-city chains that need a data warehouse, custom integrations or private hosting | Integration work, hosting, support level |
Hidden costs to budget for
| Cost | Why it appears | How to control it |
| Implementation and setup | Configuring protocols, forms, price lists and user roles | Ask whether setup is free, fixed-price or hourly, in writing |
| Training | Staff turnover means repeat training | Ask whether support and training are unlimited or metered |
| Data migration | Ten years of past cycles on paper or an old system | Agree the scope and the format before you sign |
| SMS and WhatsApp credits | Message charges sit outside most software fees. Meta has charged per message on the WhatsApp Business Platform since 1 July 2025 and charges for service messages beyond 1,000 a month from 1 October 2026 (Meta developer documentation) | Ask whether credits are bundled or billed through, and at what mark-up |
| Lab, embryology and witness integrations | Connecting a lab analyser, an embryo imaging system or an RFID witness system is custom work | Get a fixed quote per integration and a named owner |
| Extra storage | Scan images and embryo photos grow fast | Ask what storage is included and the price per extra block |
| Registry reporting changes | The Registry may change its format | Ask whether updates for legal changes are included |
| Exit and data export | Leaving a vendor without your data is the biggest hidden cost | Put a full export in an open format in the contract |
Set this against the money at stake. The EQT announcement of its 2023 investment in an Indian fertility chain put the market at around 300,000 IVF cycles a year, growing about 15 percent a year. A July 2026 opinion piece in The Week by a clinical embryology professor put one treatment cycle at ₹1,50,000 to ₹4,50,000. One lost cycle record or one failed inspection costs more than a year of fertility clinic software.
How to buy IVF EMR software: step by step
- Write your requirements before you watch a demo. List every record the Act, the Rules and the PCPNDT Act require, every consent form and every Registry report. Add workflow needs such as scheduling, packages, teleconsultation and multiple sites. Mark each must-have or nice-to-have.
- Confirm your ART clinic registration. Check your entry on the National ART and Surrogacy Registry. If renewal is due, the 2026 Amendment Rules require filing through the portal at least 60 days before expiry to get the lower fee. Go live with new software well before an inspection, not during one.
- Run the same demo script with every vendor. Give each one fictional patient and one cycle: stimulation, three scans, eight oocytes retrieved, five embryos, one transfer, four frozen. Watch them enter it, then ask for the embryo history, the cryostorage entry, the attached consents and the Registry export. Time each task.
- Test the compliance pieces. Ask to see Form F for a scan, the audit log for a changed note, role-based access for a reception user, and what happens when a consent is missing. Ask how the vendor will handle the DPDP duties that start on 13 May 2027.
- Plan data migration. Decide which past cycles move into the new system and which stay in an archive, since the ten-year rule means none can be thrown away. Agree the format, the cost and who checks the migrated data.
- Check the Registry reporting path. Ask the vendor to show the export that matches what your State Appropriate Authority accepts. If they say “we can build it”, get a date and a price in writing.
- Get a five-year total cost in writing. Subscription or licence, setup, training, migration, integrations, messaging credits and storage, on one sheet for every vendor.
- Read the contract for data and exit terms. Where the data is hosted, who owns it, how you get it out, and how the vendor tells you about a breach. These clauses matter more than the price.
- Trial on real work, then name an owner. Run one or two live cycles in parallel during the trial and count the clicks and errors. Then give one person, usually the practice manager or senior embryologist, ownership of the configuration, the user list and the monthly Registry and PCPNDT reports.
Common mistakes
- Buying a general clinic EMR instead of fertility clinic software. The embryology record and cryostorage inventory are the hard part. If they are missing on day one, they will be missing in year three.
- Letting the lab keep its own spreadsheet. Two systems mean two versions of an embryo’s history, and inspectors will ask which is right.
- Treating consent as paperwork. Section 22 makes the signed form a condition for treatment. The software should stop the next step when a form is missing, not file it quietly.
- Skipping the Registry check. ThePrint found rejected clinics still operating in June 2026. Clean software records do not help a clinic whose ART clinic registration lapsed.
- Forgetting PCPNDT. Every scan on a pregnant woman needs Form F and goes into the monthly report. Software that cannot print it creates a second compliance system.
Setting up the clinic itself is covered in our guide to opening a clinic in India, and doctor registration in the NMC and DCI registration guide.
How Easy Clinic fits in
Easy Clinic’s IVF EMR software records stimulation protocols and follicle monitoring, tracks milestones such as egg retrieval and embryo transfer, logs hormone medication with dose changes, and stores consent forms, embryo and lab records and ultrasound reports alongside billing, scheduling, teleconsultation and WhatsApp, SMS and email messaging, with role-based access and audit logs. It is cloud-based, with a 14-day free trial and a 30-day money-back guarantee, and runs in a browser rather than a native mobile app. Plans are listed per doctor per month on the pricing page. IVF EMR software: common questions
What is IVF EMR software?
IVF EMR software is an electronic medical record built for fertility clinics. It records stimulation protocols, monitoring scans, oocyte retrieval, embryology lab data, cryostorage inventory, consents and outcomes for each cycle, alongside billing and scheduling.
How long must an IVF clinic in India keep records?
At least ten years under section 23 of the ART Act, after which the records are transferred to the National Registry’s central database. If legal proceedings are under way, records must be kept until they end.
What does ART clinic registration cost?
Under Rule 7 of the ART Rules, 2022, the application fee is ₹50,000 for a Level 1 clinic, ₹2,00,000 for a Level 2 clinic and ₹50,000 for an ART bank. Renewal filed 60 days before expiry costs ₹25,000, ₹1,00,000 and ₹25,000 under the 2026 Amendment Rules.
What is the difference between a Level 1 and a Level 2 ART clinic?
Under Rule 3 of the ART Rules, a Level 1 clinic carries out only intrauterine insemination as treatment. A Level 2 clinic carries out procedures that attempt to obtain a pregnancy, including surgical gamete retrieval, handling oocytes outside the body, fertilisation, embryo transfer and storage of gametes and embryos.
Does the DPDP Act apply to fertility clinics?
Yes. Patient and donor data is digital personal data, so the clinic is a data fiduciary. It must take reasonable security safeguards, notify the Data Protection Board and affected patients of a breach, and erase data when the purpose ends unless the ART Act’s ten-year rule requires retention.
Is a web based IVF EMR safe for patient data?
It can be, if the vendor applies the safeguards the DPDP Rules describe, such as encryption, access logs kept for a year and breach notification, and if the contract names the vendor as your data processor.
How much does IVF EMR software cost in India?
It depends on the model: per doctor per month, per clinic per month, a one-off licence with annual maintenance, or a custom enterprise price. Ask for a five-year total that includes setup, training, migration, integrations and messaging credits.
Does PCPNDT apply to a fertility clinic’s ultrasound?
Yes, where a scan is performed on a pregnant woman. The clinic must fill Form F for each scan, keep a register and the records for two years, and send a monthly report to the Appropriate Authority by the 5th of the following month.
Should an IVF clinic get NABH accreditation?
NABH published a draft first edition of accreditation standards for ART clinics on 27 August 2025 and asked for comments by 1 September 2025. [NOT CONFIRMED: whether the final NABH ART standards have been released; check the NABH portal.] Accreditation is voluntary, but the draft is a useful checklist for your IVF EMR software requirements.
